    A Land Survey Research Workflow for Property Boundary Evidence

    A practical land-survey research workflow for organizing deeds, recorded maps, prior surveys, parcel and agency data, and field notes before boundary analysis.

    Land survey research rarely fails because a single document does not exist. The harder problem is that boundary evidence is distributed across deeds, subdivision and parcel maps, records of survey, corner records, easements, assessor information, agency portals, prior survey files, and field notes. Each source may use different names, dates, bearings, monuments, or reference systems.

    A disciplined land survey research workflow brings those records into one traceable body of evidence before conclusions are drawn. The purpose is not to let a search result decide a boundary. It is to help the licensed surveyor find relevant records, understand how they relate, and preserve the provenance needed for professional analysis under the applicable law and standards.

    Begin with the survey question and jurisdiction

    Define the assignment before collecting documents. Is the work a boundary survey, ALTA/NSPS Land Title Survey, topographic survey, lot-line adjustment, easement exhibit, construction staking project, or preliminary feasibility review? The purpose determines which records matter and how current they must be.

    Confirm the controlling jurisdiction, county or recording district, municipality, and relevant agencies. Recording systems and document names vary by state and locality. The same search habit will not work everywhere, and assessor data is not a substitute for record title or a survey.

    Build the record-title chain

    Start with the vesting deed or current title material supplied for the property. Capture the grantor and grantee, recording date, instrument number or book and page, legal description, referenced maps, exceptions, and any calls to adjoining ownership or monuments.

    Follow references backward and sideways. A deed may refer to a tract created by an earlier deed, a subdivision map, or a survey filed under a different owner name. Research adjoining deeds where they may help explain a shared line, senior rights, gaps, overlaps, or differing calls. Owner names, entity variations, historic parcel numbers, and prior legal descriptions become search terms for later sources.

    Collect recorded maps and survey records

    Search for subdivision maps, parcel maps, records of survey, plats, corner records, certificates of correction, and other locally recognized survey documents. Use the legal description, tract or lot name, map book and page, surveyor name, adjoining parcels, and geographic location as parallel search paths.

    Do not stop at the first map that depicts the parcel. Later records may recover monuments, disclose conflicts, revise dimensions, or show how another surveyor interpreted the same controlling calls. Earlier maps may explain the origin of a bearing or distance copied into later deeds.

    Find prior surveys and project files

    Prior survey material may exist in the firm's archive, a client's files, an agency project folder, or another surveyor's records where access is permitted. Search by address, assessor parcel number, owner, subdivision, project number, legal description terms, and nearby control points.

    Treat an unrecorded prior survey according to its provenance and the rules of the jurisdiction. It may contain valuable observations or monument history, but its existence does not automatically establish authority. Record who prepared it, when the fieldwork occurred, what source documents were used, and whether a signed or sealed version is available.

    Use parcel and agency data as an index, not a boundary opinion

    Assessor parcel viewers and GIS layers are excellent discovery tools. They can provide parcel identifiers, situs addresses, ownership clues, adjacent parcels, jurisdictional overlays, and links to tax or planning records. They can also be generalized, shifted, or assembled for assessment and visualization rather than boundary determination.

    Label these sources by purpose. A parcel polygon can guide a records search, but it should not be presented as surveyed geometry. Save the agency name, layer title, publication or update date when available, coordinate reference information, and any disclaimer supplied with the data.

    Organize evidence by source and relationship

    A folder full of PDFs is not yet a research product. Use consistent identifiers and capture searchable metadata for each item: document type, parties or surveyor, recording reference, date, parcel or tract, geographic area, referenced monuments, and related documents.

    Create relationships among the records. Note when a deed cites a map, a survey relies on a corner record, a field note recovers a mapped monument, or an agency plan uses a separate control basis. These connections make contradictions and missing evidence easier to see.

    Reconcile desktop research with field evidence

    Desktop research should inform the field plan. Develop a search list of called-for monuments, accessories, occupation features, control points, and locations where records disagree. Include enough source context that the crew understands why each item matters.

    Field observations then return to the same evidence system. Record found and not-found monuments, condition, markings, measurements, photographs, instrument and control information, occupation, and environmental limitations. Tie every observation to the relevant record call where possible, while preserving raw data and original notes.

    When field evidence conflicts with record dimensions or mapped geometry, flag the conflict for professional analysis. Do not resolve it by selecting whichever coordinate is easiest to use. Boundary determination requires weighing evidence under governing law, standards, and the facts of the survey.

    Finish with an auditable research package

    Before analysis or drafting is complete, check that the research log identifies the repositories searched, all relied-upon records are legible and traceable, referenced documents were either retrieved or listed as open items, and field observations retain their original context.

    The final research package should let the surveyor move from a deed call to its referenced map, from the map to a monument, and from that monument to the field observation without guessing where the information came from. That traceability supports better review, clearer drafting, and a defensible professional record.
